Be useful without exceeding your authority
Learn and apply
Choose what you can do, what needs permission and what must go to a specialist.
A volunteer turns an event plan into a useful experience for the person in front of them. Success is often quiet: the athlete reaches the correct waiting area, a spectator receives accurate directions, and the next shift knows about an unresolved problem. Watching the competition or meeting a famous athlete is not the purpose of the shift.
Use three boundaries. You may perform the tasks in your role briefing. You need your supervisor's authority for an exception or a change to your post. A specialist handles medical treatment, security enforcement, technical sporting decisions and other restricted work. A uniform does not grant all-access permission. At a small national tournament one person may hold several jobs; that still does not remove the need to confirm who owns a decision. At an international event the responsibilities may be split across many teams.
Before accepting an instruction, check who gave it, whether it is within your role and whether it is safe. If two people give conflicting instructions, tell your named supervisor and ask them to resolve the conflict. If there is immediate danger, raise the alarm and protect yourself rather than waiting for normal approval.
Use this phrase: “I can help with directions. Access exceptions must be approved by accreditation or security; I will contact them.” Do not borrow a badge, make promises about entry or quietly abandon your post.
Practise before reading the model
Sort these requests into do / seek permission / specialist: explain the published shuttle stop; admit a celebrity without the right pass; decide whether a disputed point counts; report a leaking water dispenser. Then name your escalation owner for each.
Model response and explanation
Explain the stop using the current transport information. Refer the pass exception to accreditation/security. Refer the scoring decision to the authorised technical official. Report the leak promptly, warn people from a safe position and request facilities support; do not repair electrical equipment.
Your practical evidence
Write a three-line role card: my assigned task; my supervisor; tasks I must refer.

Arrive ready and complete a venue walk
Learn and apply
Prepare a shift plan and find the essential facilities before opening.
Read your shift offer before accepting it: dates, local time, exact reporting point, role, expected breaks and the contact for lateness. Ask what travel, meals, uniform, expenses and insurance are actually provided. Never assume that volunteering pays for international flights, accommodation or a visa. Use the organiser's official recruitment route; a certificate does not guarantee selection.
Plan the journey home as carefully as arrival. Bring permitted identification, comfortable role-appropriate footwear, weather protection and essential personal medication. Follow the organiser's bag and uniform rules. Tell the volunteer coordinator privately about adjustments you need to do the role; do not put medical details in a public group. Report illness or fatigue that makes the task unsafe.
At check-in collect your assignment and current briefing, then walk the route you will describe to guests. Find your supervisor, information point, drinking water, toilets, accessible route, medical post, emergency exits and assembly arrangements. Check which doors are restricted. An exit drawn on an old map is not proof it is usable today. Report locked doors or obstructions; do not alter fire systems.
Confirm the backup if your radio or phone fails and who relieves you for a break. Before doors open, explain your task back to the supervisor: “My post is East Information; I refer ticket disputes to Gate Support; my relief is due at 11:00.” A correct read-back exposes misunderstandings early.
Practise before reading the model
Using the fictional venue in Toolkit T02, plan arrival for a 09:00 briefing and write five questions to resolve before the shift. Include a return journey and a break arrangement.
Model response and explanation

Give clear directions and radio messages
Learn and apply
Send a short message that another person can act on and confirm.
Start with the person's destination, not a long list of gates. Ask one useful question: “Which session or entrance is shown on your ticket?” Use visible landmarks and check whether the suggested route suits them. Say “follow the blue information signs to Hall B” only if those signs exist. Avoid pointing vaguely or saying “over there”. If unsure, contact the information owner and give an honest update time.
For a routine radio call, listen first, select the assigned channel, use the event's call signs and speak at a normal pace. A useful original practice structure is: who you are calling; who you are; precise location; observed issue; assistance requested. It is a training aid, not a universal radio code. Use the event's actual procedure on duty.
Example: “Transport Desk, this is Gate East. At Bay 2, the 10:15 shuttle has not arrived and 12 passengers are waiting. Please confirm the next departure.” The receiver repeats the essential instruction. You acknowledge it and report completion or a problem. This closes the communication loop.
Do not transmit a child's name, passport number, medical history or an allegation on an open channel. Request the designated private reporting route. For emergencies use the priority call method from the briefing. Keep the channel free when instructed. If there is no answer, use the stated backup; repeating the same call indefinitely is not escalation.
Practise before reading the model
Record or speak a 20-second message: an accessible entrance is blocked by three delivery boxes at West Door 4. Request the appropriate team without blaming anyone. Ask a partner to repeat the required action.
Model response and explanation
Include your call sign, exact location, obstruction and need for facilities support. Do not broadcast a guest’s disability or name. A partner should understand both where to go and why; shorten the message if they cannot.

Save a written message and its read-back in T03. Audio is optional; written participation is equally valid.

Handle a complaint without making it worse
Learn and apply
Respond calmly, offer a permitted next step and recognise when to disengage.
A complaint may begin with anger but contain a solvable issue: a changed entrance, an inaccessible route or a ticket that will not scan. Let the person finish a short explanation. Acknowledge the inconvenience without confirming facts you have not checked: “I understand you have been waiting. Let me check the entry issue.” Avoid “calm down”, sarcasm or arguing about who is to blame.
Clarify the immediate need, check the approved information and offer options within your role. You may escort the person to a help point only if your post can be covered. You cannot promise a refund, override a seat allocation or guarantee that an athlete will meet them. Explain the next owner and what happens next. If a solution will take time, give a realistic update point and keep that promise.
Maintain a comfortable distance and an unobstructed way to leave. Do not touch the person, block them or try to win a shouting contest. Threats, intimidation, violence or behaviour that makes you feel unsafe require security assistance and withdrawal to safety. This is not a failure of customer service.
Document facts after the situation is safe: time, place, issue, action and receiving team. “Guest raised their voice and said X” is more useful than “difficult person”. Escalate discriminatory abuse as well as physical threats. Support colleagues who report it; no volunteer is expected to tolerate abuse to protect the event's image.
Practise before reading the model
Roleplay a guest who missed the start after following an old sign. Write your first two sentences, one permitted option and the point at which you would call security.

Make assistance respectful and accessible
Learn and apply
Offer help without making assumptions and verify an accessible route.
Speak directly to the person, including when a companion or interpreter is present. Ask what would help and accept a refusal. Never move a wheelchair, touch a mobility aid or take someone's arm without permission. Assistance is a conversation, not something done to a person. Do not distract a working assistance animal.
Check the entire journey: entrance, route surface, ramp or lift, seating, toilet and return route. A ramp at the front door does not solve a broken lift further along. Do not send someone down an unverified “shortcut”. Explain a known barrier honestly and ask the accessibility team for the approved alternative. Volunteers should not carry a person or a wheelchair on stairs as an improvised solution.
Access needs may not be visible. A person may need a quieter waiting point, larger text, additional processing time or a written explanation. Ask one question at a time. Use plain language, face the person while speaking and offer written information when useful. Do not demand a diagnosis. Event eligibility checks for particular services belong to the designated team, using the event's policy.
If you cannot leave your post, request an authorised escort and tell the guest who is coming. During an emergency follow the venue's accessible evacuation plan and summon trained support; do not assume a normal passenger lift is safe. An accessible service is successful when the person can reach the intended service with dignity, not merely when a volunteer has offered help.

Work across languages and cultures

Confirm meaning, time and identity respectfully with international guests.
A national event may involve many Indian languages; an international event adds unfamiliar travel documents, delegation structures and time zones. Neither setting justifies assumptions about a person's language, religion, food or ability from their name or appearance. Ask how to pronounce a name and use the name or title they prefer.
Use short sentences with one action at a time. Avoid jokes that depend on slang, idioms such as “hang tight”, or speaking louder as a substitute for clarity. Show an approved map or written destination and ask the guest to indicate it. A useful check is “Please show me which departure you mean” rather than repeatedly asking “Do you understand?”
Dates and times cause expensive mistakes. Write 24-hour time, the date and the local time zone for transport or remote coordination. “Tomorrow at six” is inadequate in a message that may be read abroad. Read back flight or bus details through the authorised system; do not request passport photos in a personal chat. Confirm whether a time refers to reporting, boarding or departure.
Use the approved interpreter service for important conversations. A translation app can assist low-risk directions if allowed, but do not upload personal, medical or safeguarding information to an unapproved service. Do not improvise translation of consent, medical advice or a formal complaint. For dietary questions refer to the catering team and verified ingredient information; never guarantee that a meal is allergen-free based on appearance.

Check registration and accreditation correctly
Learn and apply
Use the approved check-in process and handle a mismatch without inventing an exception.
Registration records a person's entry or application. Accreditation grants particular access for a defined purpose and period. A ticket may allow spectator entry but not an athlete area. A volunteer badge is not permission to enter every venue. Colours and symbols differ by event: learn the actual access matrix instead of memorising a universal colour rule.
At a staffed check-in point, greet the person, request only the approved evidence, compare the relevant fields and confirm the correct event, date, session and zone. Keep documents facing away from the queue. Follow the authorised system response. A scanner error does not prove fraud; duplicate names do not prove duplicate registration. Refer the problem to the help desk and use a neutral explanation.
If the network fails, use only the documented offline process approved by the registration owner. Record the minimum required information on controlled forms, keep them secure and reconcile them later through the responsible team. Do not create a personal spreadsheet full of identity documents. Do not collect money through a personal QR code.
Missing or damaged passes, identity mismatches, duplicate scans and expired access need the specified resolution route. You may guide a person to that route; you cannot issue your own exception. If someone pressures you because of status, repeat the procedure politely and call the authorised supervisor. Lost badges should be reported for the organiser to disable and replace as appropriate.

Support athletes without interfering with sport
Learn and apply
Support athlete movement and equipment tasks while protecting technical decisions.
Athletes need accurate, calm support around warm-up, reporting, competition and departure. Work from the latest authorised schedule or start list. Confirm the event and category before directing a team; similar names can refer to different age groups or sessions. If two documents conflict, ask the competition office which version controls. Do not announce your own revised time.
At the field of play, wait for the official's instruction and the safe access window. Retrieve or place equipment only after role-specific training. Keep emergency and athlete routes clear. Never step into live action for a dropped item or selfie. If you see unsafe equipment, tell the technical official and keep within your authority; do not attempt an unapproved repair.
Volunteers may carry an official result sheet through the approved process but cannot change a score, decide eligibility, settle a protest or promise a replay. Direct questions to the relevant official or protest desk and state any verified deadline without interpreting the rules yourself. Keep the original record intact.
An athlete may ask you about a tablet, supplement or doping-control request. Refer medication questions to qualified medical/anti-doping personnel. Ordinary volunteer status does not qualify you as a doping-control chaperone. Those duties require separate selection, training and authorization from the testing authority. Protect athlete privacy: do not share their location, treatment details or private conversations, and do not seek autographs while on duty.
Practise before reading the model
A results runner notices that a printed total looks wrong. A coach demands an immediate change before medal presentation. Describe the next three actions.
Model response and explanation

Recognise and report safeguarding concerns
Learn and apply
Respond to a disclosure without investigating, promising secrecy or delaying required reporting.
Safeguarding means reducing harm from abuse, exploitation, harassment and neglect. It applies to children and adults, including volunteers. Warning situations include humiliation, sexual comments, unwanted touching, private messages to children, coercion and unsafe one-to-one arrangements. You do not need to determine guilt before reporting a concern.
If someone tells you about harm, listen calmly and take them seriously. Say: “Thank you for telling me. I need to share this with the people who can help keep you safe.” Do not promise secrecy, interrogate, ask leading questions or confront the alleged person. Address immediate danger by calling emergency assistance and the designated safeguarding lead. Write the person's own words as accurately as possible, distinguishing what you saw from what you were told. Share only through approved confidential routes.
If the usual supervisor is involved or does not act, use the alternative safeguarding contact or appropriate external authority. Do not let a hierarchy or concern about reputation block safety action. In India, section 19 of POCSO requires information about a child sexual offence known to have occurred or apprehended as likely to occur to be given to the Special Juvenile Police Unit or local police. An internal report alone does not replace that duty. Abroad, learn the host-country reporting route during induction.
Use observable, accountable interactions with children: approved spaces, communication channels and supervision. Never arrange private transport, private accommodation or personal social-media contact with a child. Follow the event's safeguarding arrangements rather than inventing your own exceptions.
Practise before reading the model
A teenage participant says a staff member has been sending sexual messages and asks you to keep it secret. Write your first response and reporting steps. Use no real names or message images.
Model response and explanation
Listen, explain limited confidentiality, address immediate safety and report promptly through safeguarding and legally required channels. Do not forward explicit images, question the child repeatedly or seek the accused person’s explanation yourself.
Your practical evidence

Help a separated child or vulnerable person
Learn and apply
Keep a separated person safe and arrange an authorised reunification.
A separated person needs calm support and a controlled response. Introduce yourself and ask simple, necessary questions. Alert the designated lost-person or safeguarding team immediately through the approved route. Stay in a safe, visible, supervised location; request another authorised colleague when the policy requires it. Do not take a child to your vehicle, hotel or a secluded room.
Follow the event's protocol on whether to remain in place or move to an identified help point. Do not leave your post and search alone while a child waits unattended. If an adult reports a missing child, obtain the minimum useful description and last-seen location for the responsible team. Do not promise that the child has been found or tell the adult to conduct an uncoordinated search.
Reunification is an authorised process. A person who says “I am the uncle” or shows a photograph is not automatically entitled to take the child. The designated team checks the claim using its procedure and records release. Do not hand the child over yourself. If the child is afraid of the claimant, communicate that concern privately and do not dismiss it.
Avoid public posts, photographs and open-channel names or contact details. Public announcements, if needed, must follow the event's approved safeguarding wording. An adult with support needs should be addressed with dignity; do not assume incapacity. Immediate danger, injury or an attempted forced removal needs urgent emergency/security assistance. Afterwards record the handover time and receiving role, not a speculative story.
Practise before reading the model
A child at your information desk is met by an adult who knows their name. The adult says they are in a hurry. Explain what you do while waiting for the designated team.

Recognise crowd problems early
Learn and apply
Describe an emerging crowd hazard and escalate before improvising a control.
A queue is not safe simply because people are standing in a line. Look for the way people arrive, pass through the area and leave. Warning signs include movement stopping while more people arrive, pressure at a barrier, people falling or distressed, a blocked emergency route, opposing flows and a queue spilling into traffic. Report what you observe; do not wait for a guessed number of people per square metre.
Know the supervisor, control point and approved overflow plan for your post. If a queue begins to obstruct an accessible entrance, report the obstruction and request the planned adjustment. Do not move barriers, open a vehicle gate or create a new route on your own. A shortcut may feed people into an unprepared space or cross emergency access.
Give calm, accurate information from a safe position. Do not stand in a pinch point or put yourself between a moving vehicle and pedestrians. Bag searches, physical restraint and enforcement belong to authorised security personnel. If there is immediate danger, use the emergency escalation method, move yourself to safety and follow the approved instructions for directing people away from danger.
Routine crowd reports should include exact location, current movement, obstruction or distress, direction of arriving flow and requested help. “Busy at the gate” is weak; “East queue is stationary, new arrivals are blocking the ambulance route beside Bay 2” is actionable. After an instruction, confirm it and report whether the condition improves.

Call for the right help, give a precise location and avoid dangerous improvised care.
Learn the venue alarm method, emergency contacts, medical post and evacuation arrangements before duty. In India, 112 is the integrated emergency number. At an overseas event verify the local number; do not assume an Indian number works there. The event plan coordinates on-site response, but you should not delay urgent emergency help when life is at risk.
If someone collapses or appears seriously unwell, first check that approaching is safe. Call the medical/emergency team, give the exact location and observed condition, and follow dispatcher instructions. Ask an available colleague to guide responders if safe. Preserve access and privacy. Do not diagnose, give medication, force drinks or move an injured person unnecessarily; immediate danger and dispatcher guidance may require action. First aid, CPR and AED skills should be learned and refreshed through a separate recognised course.
Heat can become an emergency. Confusion or collapse in hot conditions needs immediate medical help and prompt cooling as directed. Do not give drinks to someone with suspected heatstroke or impaired consciousness. For your own prevention, use the planned water, shade and rest arrangements and report symptoms early; do not push through a shift to appear committed.
For smoke, severe weather or another hazard, raise the alarm and follow the event plan. Direct people only along confirmed safe routes. Do not enter smoke, touch suspicious items, move electrical equipment in water or declare an all-clear. Weather suspension, evacuation and restart decisions belong to the designated command team, except that you must act to escape immediate danger.

Match people to the confirmed service and escalate delays without unsafe improvisation.
Transport volunteering is a sequence of handoffs: arrival point to welcome desk, desk to dispatch, dispatch to the right vehicle and destination. Confirm who owns each step. Use the current manifest or authorised list and the latest dispatch instruction. Check date, reporting time, destination, bay, vehicle identifier and accessibility arrangements. Do not rely only on a handwritten hotel name in a windscreen.
Count and reconcile according to the assigned process while collecting the least personal information needed. Communicate a mismatch privately to dispatch. A missing passenger, extra passenger or changed flight requires a decision by the transport owner. Do not publish a delegation's complete travel list in a group chat.
If a shuttle is late, give a verified update and a safe waiting location. Ask dispatch about the next service and any approved alternative. Never promise a departure time you do not control or take guests in your own vehicle. An accessible vehicle cannot be replaced with a standard vehicle without checking the affected traveller's needs and the authorised plan.
Keep waiting passengers away from vehicle movement. Do not stand behind reversing vehicles or step into a road to stop traffic. Only authorised trained personnel marshal vehicles. Luggage handling must stay within your capability and manual-handling briefing; request help for heavy or awkward items. At the destination, confirm the receiving team has accepted the group before marking the handoff complete. Report unresolved baggage or passenger issues explicitly.

Support authorised media and ceremonial work without leaking information or granting favours.
Media volunteers help with approved workspaces, schedules and routes. A media pass is not automatic access to every athlete space. Check the relevant zone and refer interview requests to the media team. You are not the event spokesperson. If asked about an injury, dispute or delay, use the approved public statement or refer the journalist to the named communications contact. Do not say “off the record” and share a rumour.
In ceremonies and VIP support, use the authorised running order, names, pronunciation notes, seating and flag instructions. Check changes with protocol before acting. Status does not override safety or access requirements. If you notice a wrong name or flag before a ceremony, discreetly alert the ceremony lead rather than attempting a public correction yourself.
Separate official work from personal social media. Accreditation, private schedules, team locations, result documents and incident images can reveal information that should not be public. Follow the event's photography rules; never photograph a child, casualty or confidential screen for your own post. Ask the communications team before publishing work-related material.
Protect sporting integrity. Do not trade inside information, accept a gift in exchange for access or use private athlete information for betting. Event-specific betting rules may be stricter than everyday law. Report suspicious requests through the integrity route and preserve the factual details securely. Do not conduct your own sting or accuse someone publicly.

Handle information and supplies through a traceable, minimal process.
Use only the event's approved accounts, forms and devices. Collect information because the assigned process needs it, not because it may be useful later. Position screens and paper lists so the public cannot read them. Lock an unattended device and hand controlled documents to the authorised owner. Never upload participant data to a personal cloud account or an unapproved AI or translation service.
If a list or device is lost, report it immediately through the event's data-incident route. Say what was lost, when, where and what you have already done. Do not conceal the mistake or send a copy of the data to everyone while searching for it. The responsible team decides containment, notification and retention actions.
For stores and supplies, record item, quantity, condition, destination and receiving person or role. Count at issue and return; a signed handover is more reliable than a memory. Do not substitute safety-critical equipment, take leftover merchandise or promise donations without permission. Faulty items should be labelled and referred through the approved process so they are not reissued accidentally.
Small resource decisions matter. Use verified refill points, approved reusable supplies and the actual labelled waste streams. Do not invent a recycling rule from bin colour alone. Never sort sharp, hazardous or medical waste by hand. Check food questions with catering; volunteers cannot judge food safety from smell or authorise allergen substitutions. Report overstock or shortages early so the responsible team can adjust rather than waste supplies.
Practise before reading the model
You find a printed registration list beside a public bin and notice the water station is almost empty. Write separate actions for the data incident and supply problem.
Model response and explanation
Secure the list from further public exposure if safe and report it to the data owner; do not photograph or circulate it. Report the water quantity and location to logistics/catering, request replenishment and provide only a verified alternative refill point.

Finish the shift and rehearse a complete event day

Hand over open work, reflect honestly and identify the next training you need.
A shift does not end safely because the clock reaches its finish time. Meet the incoming colleague or designated supervisor, explain open tasks and obtain acknowledgement. State what changed, what remains unresolved, who owns it and when the next action is due. Return radio, keys and controlled documents through the issue process. Follow the sign-out arrangement; if relief fails to arrive, contact the supervisor rather than disappearing or working indefinitely without support.
Use a short debrief: what happened, what worked, what should change and who will act. Record a near miss even when nobody was hurt. Avoid blame and personal details in a group discussion. Use the private reporting route for sensitive matters. After a difficult incident ask for the available welfare support and a break; feeling affected is not evidence of weakness.
Now combine the course in a fictional shift. At East Information a spectator asks for an accessible route, a coach presents the wrong pass, a shuttle is late and a guest reports a separated child. Prioritise immediate safety, summon the correct owners and keep routine service covered. You are not expected to solve all four alone.
Complete the Foundation capstone in T11 before checking the model response. Then take the final assessment and safety checkpoint. An online completion certificate records learning; it does not prove field competence or appoint you to an event. Before a real shift, complete the actual role training, venue walk and supervised practice. Keep a portfolio using fictional examples or properly anonymised, authorised records only.
Practise before reading the model
Write a handover with two open tasks, named roles, due times and receiver acknowledgement. Then spend 45–60 minutes on T11 and identify one skill to practise again.
Model response and explanation
A strong handover distinguishes “reported” from “resolved”. The incoming person can say exactly what to do next. A good capstone protects the child, preserves access boundaries, verifies the route and seeks dispatch information without promising a bus.
Your practical evidence
Submit or retain T11 plus a short reflection: one strength, one gap, one next action. Use the LMS only for fictional coursework.
